YOUR "ADAPTION ACADEMY VISA SUPPORT PACK"

YOUR CZECH

"D-Visa":

STEP-BY-STEP GUIDE

#01

There are essentially two parts to your visa application:

  • We prepare the documents connected with your studies at Adaption Academy.

  • You prepare the personal documents required by the Czech authorities.

Coming to the Czech Republic for several months can feel complicated at first — especially when you see words such as long-term visa, proof of accommodation, financial means and apostille. The good news is that you do not need to understand everything at once.

Then you submit everything together at the Czech Embassy responsible for your application. Below, we explain the process step by step.

WHO IS RESPONSIBLE FOR WHAT

#02

You apply for the visa yourself through the competent Czech Embassy, and the Czech authorities make the final decision.

☑ Your educational enrolment/acceptance confirmation

☑ Information about your programme

☑ Programme dates and study details

☑ Tuition/payment confirmation where applicable

☑ Supporting information about Adaption Academy where appropriate

☑ Accommodation documentation only where accommodation is genuinely provided/arranged through an eligible provider and the correct document can be issued

Adaption Academy prepares

☑ Passport

☑ Visa application form

☑ Photograph

☑ Criminal-record documents

☑ Proof of sufficient funds

☑ Personal accommodation documentation if you arrange accommodation yourself

☑ Apostille/legalisation where required

☑ Czech translations where required

☑ Medical insurance when required

☑ Embassy appointment

☑ Visa fee

☑ Any additional personal documents requested by the Embassy

FIRST: WHICH VISA ARE WE TALKING ABOUT?

#03

For eligible Adaption Academy programmes, the relevant purpose will normally be:

  • "Other Educational Activities"

This is different from the formal university “study” category.

If you are a non-EU/EEA/Swiss citizen and you are coming to the Czech Republic for an Adaption Academy programme lasting more than 90 days, you will normally need a Czech Long-Term Visa (Type D).

The final visa category and visa decision are always determined by the Czech authorities.

7-STEP APPROACH TOWARDS VISA APPROVAL

#04

  • First, apply for your chosen Adaption Academy programme.

  • We will review your application and confirm whether you have been accepted.

  • Once you have completed the required enrollment and payment steps, we can prepare the documents confirming your participation in the programme.

At this stage, do I already need a visa appointment?

  • Not necessarily.

  • However, Czech Embassy appointments can sometimes have limited availability, so we strongly recommend checking the appointment procedure for the Czech Embassy responsible for your country as early as possible.

  • Do not wait until shortly before your programme begins.

You do not need to do everything on the same day. We explain each step below..

01

Apply to Adaption Academy

  • Once you are accepted, you will receive instructions for completing your enrollment.

  • Depending on your programme, this may include paying your tuition fee or the required enrollment amount.

  • After the relevant requirements are completed, we can issue your Academy visa-support documents.

Does paying Adaption Academy guarantee my visa?

  • No.

  • Your payment and enrolment confirm that you are genuinely joining our educational programme.

  • The visa itself is issued by the Czech authorities, not by Adaption Academy.

  • No school, university, agency or accommodation provider can guarantee that a visa will be approved.

02

Complete your enrolment

This is the part that we help you with. You do not have to invent your own school documents. Depending on your programme and circumstances, your Academy Visa Support Pack may include:

1. Confirmation of Admission / Enrollment

This confirms that you have been officially accepted into an Adaption Academy educational programme. It normally contains:

  • your full name;

  • programme name;

  • programme start and end dates;

  • duration of your programme;

  • place of study;

  • information about Adaption Academy; and

  • confirmation of your enrollment.

2. Programme Description

We provide information explaining what you will actually be studying. For example, your programme may include:

  • Czech language;

  • practical everyday communication;

  • Czech workplace communication;

  • Czech business culture;

  • professional etiquette;

  • workplace expectations;

  • meetings and negotiations;

  • Czech institutions and administration;

  • everyday life in the Czech Republic; and

  • intercultural adaptation.

This helps the authorities understand why you are travelling to the Czech Republic and what you will be doing here.

3. Tuition / Payment Confirmation

Where applicable, we provide confirmation showing that your programme has been paid or that the required enrollment payment has been received.

4. Information about Adaption Academy

Where appropriate, we can also provide supporting information about the Czech company operating Adaption Academy, such as company identification and registration information.

5. Accommodation Documents — only where applicable

If accommodation has genuinely been arranged through Adaption Academy or one of our accommodation partners, we will tell you exactly what documentation can be provided.

Please note:

A hotel reservation, Airbnb screenshot or informal “booking confirmation” is not automatically sufficient proof of accommodation for a Czech long-term visa.

The Czech authorities have specific requirements for acceptable accommodation documentation.

If you arrange your own accommodation, your landlord or accommodation provider will normally need to provide the appropriate document.

03

We prepare your Visa-Support documents

This is the part you are responsible for. Do not worry — it is easier if you treat it as a checklist.

You will normally need documents such as:

☐ Your passport

☐ Czech long-term visa application form

☐ Passport photograph

☐ Proof of accommodation

☐ Proof that you have enough money for your stay

☐ Criminal-record certificate

☐ Documents supplied by Adaption Academy

☐ Parental consent if you are under 18

☐ Any translations, apostilles or legalisation required for documents from your country

☐ Visa/consular fee

The Embassy can also request additional documents depending on your circumstances.

04

You collect your personal visa documents

Once you know which Czech Embassy is responsible for you, follow that Embassy's instructions for booking a long-term visa appointment.

Appointment availability can sometimes be limited. This is why we recommend beginning your preparations as early as possible.

“Can Adaption Academy book the Embassy appointment for me?” Normally, the applicant must follow the appointment procedure established by the relevant Czech Embassy.

We provide the educational documents supporting your application, but we do not control Embassy appointment availability.

05

Find the Czech Embassy

You will normally submit your long-term visa application personally. Bring all documents required by your Czech Embassy. The Embassy may also ask you questions about your planned stay. Do not be frightened by this. The purpose is normally to understand your application. You should simply be able to explain your real plans clearly.

For example:

Why are you going to the Czech Republic?

“I have enrolled in an Adaption Academy programme in Prague focusing on Czech language and Czech professional and cultural adaptation.”

What are you going to study?

Explain your actual programme.

How long will you stay?

Give the dates stated in your enrollment documents.

Where will you live?

Explain the accommodation shown in your application.

How will you support yourself?

Explain the financial resources shown in your visa application.

The most important rule:

  • Tell the truth and make sure your answers match your documents.

  • You do not need to memorise complicated legal terminology.

What if the Embassy asks me for another document? This can happen. It does not automatically mean that your visa will be refused. The authorities may request:

  • a missing document;

  • an updated document;

  • clarification;

  • additional proof of accommodation;

  • additional financial evidence;

  • further information about your educational programme; or

  • another document relevant to your individual circumstances.

If the request relates to documents issued by Adaption Academy, send us the request and we will determine what supporting Academy documentation we can provide.

If the request concerns your personal circumstances — for example your bank account, criminal record or personal immigration history — you will need to provide that information yourself.

What if my Embassy asks questions about Adaption Academy?

That is completely fine. Your visa-support documents contain information allowing the Czech authorities to identify the Academy, the organisation operating it and your educational programme.

If the authorities require additional confirmation directly connected with your enrollment or programme, please contact us.

How long does the visa process take?

For the relevant long-term visa category, the statutory processing period is generally 60 days. However, this does not mean that every applicant will receive a visa exactly 60 days after their appointment.

Processing may take longer if:

  • the authorities request additional documents;

  • something is missing;

  • additional checks are required;

  • the proceedings are formally interrupted; or

  • there are other circumstances affecting the application.

This is why you should apply as early as reasonably possible.

Can I buy my flight before my visa is approved?

We recommend being cautious about purchasing expensive, non-refundable travel arrangements before your visa has been issued.

Receiving an Academy acceptance letter does not guarantee that the Czech authorities will approve your visa.

06

Czech authorities processing your application

Once your visa is approved, the Czech Embassy will contact you with instructions.

You may need to provide evidence of the required medical insurance before the visa is placed in your passport. Follow the Embassy's instructions carefully.

Once your visa has been issued, check the visa sticker in your passport. Make sure details such as your name and validity dates are correct.

Travel to the Czech Republic.

Once your Type D visa has been issued and becomes valid, you can travel to the Czech Republic. Please keep important documents accessible while traveling, particularly:

  • passport;

  • visa;

  • accommodation information;

  • Academy enrollment documents; and

  • medical insurance documentation where relevant.

After you arrive.

There may be a requirement to register your arrival with the Czech Foreign Police within the applicable deadline. In some cases, an accommodation provider completes the necessary reporting.

We will explain the relevant arrival information during your onboarding, but ultimately each visa holder is responsible for complying with Czech immigration requirements.

You do not need to search through dozens of government pages. Below are the official Czech government pages that are most relevant to your application..

VERY IMPORTANT: FINDING THE EMBASSY IS NOT THE SAME AS BOOKING THE APPOINTMENT

  • The Czech Ministry of Foreign Affairs directory helps you find the diplomatic mission.

  • Once you identify the correct Embassy, go to that Embassy's own website and look for sections such as: Visas / Consular Information / Long-Term Visas / Appointment Registration / Entry & Residence

  • That Embassy's instructions determine how you request your appointment.

FREQUENTLY ASKED QUESTIONS

#07

Everything you need to know before applying to Ressel Academy.

No. Adaption Academy provides the educational documents that support your visa application, including your enrollment confirmation, programme information and relevant payment confirmation.

You are responsible for booking your Czech Embassy appointment and submitting your personal documents, such as your passport, proof of funds, criminal-record certificate and required accommodation documents.

The final visa decision is always made by the Czech authorities.

01

Does Adaption Academy arrange my Czech D-Visa for me?

02

Does being accepted by Adaption Academy mean my visa will be approved?

No. Acceptance and payment confirm that you have genuinely enrolled in our programme, but they do not guarantee visa approval.

The Czech authorities assess your entire application, including your finances, accommodation, background documents and purpose of stay.

Our responsibility is to make sure that the documents we issue accurately explain your enrollment and educational programme.

You cannot simply choose whichever Czech Embassy has the earliest appointment.

The Embassy or Consulate where you are permitted to apply normally depends on your nationality and/or your legal residence.

Once you identify the correct Czech Embassy, always follow that Embassy's own appointment instructions because booking procedures can differ from country to country.

03

Which Czech Embassy should I apply to?

04

How long does the Czech D-Visa application take?

For a long-term visa for Other Educational Activities, the official processing period is generally 60 days.

However, this does not mean that every application will be completed exactly within 60 days. Processing can take longer if additional documents, clarification or further checks are required.

For this reason, we strongly recommend beginning your visa preparations well before your planned programme start date.

Official visa information:

https://ipc.gov.cz/en/visa-and-residence-permit-types/third-country-nationals/long-term-visa/long-term-visa-other-educational-activities/

Do not panic. A request for an additional document does not automatically mean your visa has been refused.

If the Embassy requests something connected with Adaption Academy, your enrolment, tuition or educational programme, send us the request and we will determine what supporting documentation we can provide.

If the request concerns your personal circumstances — for example your bank account, criminal record, accommodation, previous immigration history or legalisation of documents — you will need to provide that information yourself.

The most important thing is to read the Embassy's request carefully and respond within the deadline given.
